1. Scope
This policy covers requests raised after you have enrolled and paid: course deferral, class transfer, package change, cancellation and refunds.
Where your signed training agreement contains specific terms, those terms prevail.
2. Course deferral
- Submit a deferral request stating the reason and the expected start and end dates of the deferral.
- Our academic team reviews and approves the request; you receive the outcome in writing.
- Once approved, tuition for the hours not yet studied is preserved and used when you return.
- Please contact us to re-schedule before your deferral period ends.
3. Class & package transfer
- You may request a transfer to a different class or a package that better fits your goals and schedule.
- Requests are assessed against availability in the target class, teacher availability and your current progress.
- If the new package costs more, you pay the difference; if it costs less, the difference is deferred or refunded under section 5.
4. Cancellation
- You may request cancellation if you no longer wish to continue the course.
- Cancellation requests are recorded, reviewed and answered in writing. Tuition for hours not yet studied is handled under section 5.
- Where the course has not started and no materials have been used, tuition paid is refunded on the basis set out in section 5.
5. How refunds are calculated
- Refund = tuition paid − the value of hours/sessions already studied − any valid deductions agreed at the time of approval.
- For one-to-one classes, hours studied are valued at the hourly rate stated in your training agreement.
- Third-party charges (official test fees, school application fees, bank charges) and promotions already used are taken into account when the refund is calculated.
- Refunds are paid to the person who made the payment, through the original payment channel where possible.
6. Process & timelines
- Submit: contact us by hotline 097 586 1994, email info@cleveracademy.vn or in person at a campus, within 7 days of the event giving rise to the request.
- Receipt & file: we log the request, confirm receipt, and check your study progress and payment records.
- Review: our academic and finance teams assess the request, determine the refund amount (if any) and notify you in writing.
- Payment: once both parties confirm the amount, we pay the refund within 15 working days.
All requests and outcomes are recorded in our academic management system and visible to you in the student portal.
7. If we cannot deliver
If Clever Academy is unable to continue delivering the agreed service (for example, no suitable teacher can be assigned), we will first offer an alternative for your approval. If no suitable alternative is available, tuition for hours not yet studied is refunded in full, with no deductions.
8. Force majeure
In force majeure events recognised by law (natural disasters, epidemics, decisions of state authorities and similar), both parties will agree a suitable approach: changing the mode of study, deferring, or settling tuition for hours not yet studied under section 5.
