Clever Academy Zalo Mini App Terms

1. Provider and scope

The “Clever Academy” Mini App on the Zalo platform is developed and operated by Clever Academy Joint Stock Company (the Clever Academy brand, enterprise code 0106793422). By opening and using the Mini App you agree to these terms, together with Clever Academy’s general Terms of Use and Personal Data Protection Policy.

The Mini App is an additional way to access Clever Academy’s services; it does not replace your training contract or employment contract. Tuition is shown for your information only; the Mini App does not collect money. All payments follow Clever Academy’s Payment Policy.

2. Who can use it and how

• Visitors: browse courses, teachers, upcoming classes, events and articles; take the placement test; request advice, get a quote, register for events. No account link needed.
• Students and parents: after linking, see the schedule, attendance, homework, results, tuition and loyalty points of that student only; take quizzes, submit homework, do 5 practice questions a day, check in by QR code in class, send support, deferral or make-up requests; report an absence for a session. Parents can see their child’s data and can do exactly ONE thing: report (and cancel) an absence for their child - no submitting or doing work on the child’s behalf.
• Teachers: see their teaching schedule and classes; take attendance, write session logs, set and grade homework, post class announcements, open class materials.
• Staff: clock in, timesheets, payslips, requests and explanations, internal tasks; managers approve their team’s requests.
• Consultants and managers: work with leads, students and enrolments within their CRM permissions; they must pass an extra verification with a code sent to their work email (or an authenticator app) before this access opens on a device.
• You are responsible for keeping your phone and Zalo account secure. Do not use the Mini App to access data that is not yours, and do not interfere with, probe or disrupt the system.

3. Permissions the Mini App asks for on Zalo

The Mini App asks for no permission when you first open it. Each permission is requested only when you tap a feature that needs it, through Zalo’s standard dialog. You can refuse; everything else keeps working.

• Zalo phone number: when you tap “Link account” (after an explanation screen and a separate consent box) to find the student, parent, teacher or staff profile that uses this exact number; or when you tap “Use my Zalo number” to pre-fill a consultation or quote request.
• Current location: only when staff tap “Clock in” / “Clock out”, to confirm they are within the campus radius. The location is read once and stored with the attendance record together with the distance to the campus. The Mini App does not track location continuously and never reads the location of students, parents or visitors.
• Download files to the device: when you tap to download a payslip (PDF), a document or learning materials.
• Open documents: when you tap “Open” on lesson materials, documents or submissions, to view them in Zalo’s viewer.
• Scan QR codes: when you tap “Scan QR to check in” (students, in class), “Ticket check” or check a student card (staff). The Mini App only reads the content of the QR code; it does not take or store camera images.
• The Mini App also uses basic Zalo features: sign-in with Zalo (a user ID specific to this Mini App, your name and profile picture), the Mini App’s own storage on your device, sharing, opening a chat with the Clever Academy Official Account and calling the hotline when you tap.

4. Personal data processed

• When you open the Mini App: the Zalo user ID specific to this Mini App, and your Zalo name and profile picture within what Zalo allows.
• When you choose to send it: full name, phone number, email, course of interest, current and target score, placement test results, your message, and your consent choices.
• After you link an account: the data Clever Academy already holds about you (schedule, attendance, homework, scores, tuition, loyalty points; teaching schedule; timesheets, payslips, requests) and new data you create in the Mini App (answers, submissions, daily practice and badges, absence / deferral / make-up requests, attendance with the QR scan time, event check-ins, session logs, clock-ins with location, requests, explanations, leave approvals, customer care notes).
• Digital student card: the QR code on the card changes every few minutes; whoever scans it (front desk, partners) only sees your first name and whether you are currently studying - not your full name, phone number, email or student code.
• On your phone: the session token, linked accounts, a short-lived copy of home screens, saved courses, recently viewed items and event ticket codes - kept only in the Zalo storage reserved for the Mini App.
• The Mini App never reads your contacts, messages or Zalo friends list. Photos or files are sent only when you choose them for a submission.

5. Purposes

• Link Zalo to the right profile at Clever Academy and show only your own data.
• AI assistant: writes the weekly learning summary, suggests a roadmap after the placement test, answers advisory questions, helps teachers draft comments and staff record call outcomes. AI-written content is always shown to people to review; the AI never decides scores, fees or record status on its own.
• Advice, quotes and placement test scheduling you ask for.
• Running classes, timekeeping and internal work management.
• Offers, class schedules and newsletters: only if you tick the separate marketing consent box. Without it you still get full advice.
• Keeping the system secure, detecting unusual access and handling complaints. Whenever a new Zalo link is made to a profile, Clever Academy emails the profile owner.

6. Sharing

Clever Academy does not sell personal data and does not share it with third parties for advertising. Data is accessed only by Clever Academy staff whose role requires it, under access controls; by contracted technical providers (servers, database, email delivery, and an AI service that automatically processes text to be summarised or rewritten - never for advertising); by Zalo as the platform running the Mini App; and by competent authorities when lawfully required.

7. Retention

• Mini App sign-in session: 30 days, after which the Mini App signs you in again when you open it.
• Zalo ID, Zalo phone number and account links: until you unlink, delete your data or revoke the Mini App’s permission in Zalo.
• Extra verification for consultant and manager accounts: 30 days per device.
• Short-lived copies on your phone: up to 1 day for account data, up to 7 days for public content.
• Advisory records, learning records, tuition and timesheets are business records, kept under Clever Academy’s Personal Data Protection Policy and the law.

8. Withdrawing consent and deleting data

• Delete immediately in the Mini App: Account → “Delete my Zalo data”. Your Zalo ID, Zalo phone number, all account links and data stored on the device are deleted at once.
• Remove a single link: Account → the ⋮ button next to the account → “Unlink”.
• Revoke through Zalo: when you remove the permissions granted to the “Clever Academy” Mini App in Zalo’s permission settings, Clever Academy is notified by Zalo and automatically deletes your Zalo data.
• Stop marketing: use the unsubscribe link in any email, or message Clever Academy.
• Learning, tuition and HR records are not deleted with it, because they are business records. To see, correct or request deletion of that data, contact us as in section 10.
• Students under 16 should link accounts and send information together with a parent or guardian.

9. Data protection and limitation of liability

Connections are encrypted; session tokens are stored hashed on the server; each role can only call the functions of that role; manager accounts require extra verification. If an incident affects personal data, we handle it and notify as required by law.

The Mini App depends on the Zalo platform and your network; Clever Academy is not responsible for interruptions caused by Zalo, your carrier or your device. The official record of schedules, tuition and pay is always the one held by Clever Academy.

When these terms change, the new version is published on this page and in the Mini App with its effective date. Effective 24/09/2026, updated 25/09/2026 (QR scanning, absence reports, digital student card, AI assistant). If the English and Vietnamese versions differ, the Vietnamese version prevails.
